Stationary Policy and Specifications

This policy refers to the most common units of a stationery system:  letterhead, envelopes, business cards, mailing labels, routing and memo sheets and graduation announcements.  When used consistently by the entire University community, these pieces reinforce the University's brand as a top-tier public research institution.  Letters and communications composed on official stationery give a recipient (or the public at large) assurance they are dealing with a legitimate representative of UGA, be it staff, faculty, institute, center, school or college. The same authority is conveyed through the exchange of official business cards.

There are intricate measurements for positioning of names, colleges/units and logos that are hard to reproduce in standard word processing. Specific fonts (Galliard and Galliard Italic) are required, but may not be available on individual computers. Creating letterhead on personal computers is therefore discouraged. The University printing department has online templates that make ordering and receiving top-quality stationery items easy and convenient. Simply fill in data on the online form and the department will carefully set and print the requested items.

Letterhead (8 1⁄2" x 11" and Monarch)

Copy for letterhead may be laid out in one of two ways. Name and address may appear at the top of the page (when an individual's name is used, and when there is sufficient copy to balance the two sides). Alternatively, address information may appear at the bottom of the page. Departmental letterhead should include the appropriate school or college name above the name of the department. A telephone number must appear on all letterhead; home, fax, and e-mail addresses may also be included.

Stock: Three papers are available for letterhead:

  • Ivory (cream white), sulphite finish
  • Ivory (cream white), 25% rag content, watermarked with UGA logo
  • Beckett Concept, sand, linen finish, 70# text or 24# writing

Letterhead intended for mass mailing may be ordered in less expensive white or cream-white stock with matching envelopes.

Inks: Letterhead may be printed in 100% black ink or in the approved red (PMS 200) and black color combination. Letterhead should never be printed in solid red or solid gray.

Typefaces: Galliard roman, bold and italic, in sizes specified.

Business Cards (3 1⁄2" x 2" or foldover card of 3 1⁄2" x 4")

Stock: Beckett Cambric 80# cover.

Inks: 100% black or PMS 200 and black combination.

Graduation Announcements

Only the Seal or the Arch can be used on graduation material. Other marks, such as the Athletics "Big G" or an image of the bulldog mascot, are not permitted to be used on graduation materials.
